Job Title: Non-Profit Accountant
Reports to: Assistant Director
Part-time: 15-20 hours per week
Location: Heartbeats – Newark Center 

Job Purpose: The Non-Profit Accountant is responsible for the daily fiscal operations of Heartbeats, including bookkeeping, payroll, bank deposits, vendor payments, donor giving records, and financial reporting. This role ensures that accurate and timely financial information supports both operational excellence and donor stewardship efforts.

Essential Duties and Responsibilities:
• Maintain accurate records of all general ledger accounts in QuickBooks. • Work with grant-awarding agencies (when applicable) concerning financial reports and adhere to compliance requirements. • Manage all accounts payable transactions, including invoice processing and timely vendor payments. • Prepare deposits and record all transactions accurately in both donor software and QuickBooks. • Prepare monthly bank reconciliations for review by the Treasurer and Executive Director. • Prepare monthly and annual financial reports for the Board of Directors, Treasurer, and Executive Director. • Coordinate with the payroll provider to process monthly payroll and maintain payroll records. • Prepare and file annual 1099 forms as required. • Gather financial information and documentation needed by the external tax accounting firm to prepare the annual Form 990. • File the annual return with the Ohio Attorney General’s office. • Assist with the preparation of the annual budget and monitor Budget vs. Actual numbers throughout the fiscal year. • Utilize donor software in conjunction with QuickBooks to accurately track and record donor contributions. • Monitor and record all online and electronic giving activity, ensuring accurate entry and reconciliation between systems. • Communicate with donors regarding updates to giving information, including expired credit cards, new bank account details, and recurring donation preferences. • Pull and review giving reports regularly to identify donor lapses or inconsistencies; promptly notify the Advancement Manager regarding lapsed individual donors and the Director of Church Relations regarding lapsed church partners. • Maintain strict confidentiality regarding all financial, payroll, and donor information. • Assist with financial audits and organizational compliance requirements as needed. • Perform other duties as assigned.

Qualifications:
• Proficient in accounting software, particularly QuickBooks and Microsoft Excel. • Knowledgeable in financial practices pertaining to nonprofit accounting. • Strong attention to detail, organizational skills, and ability to manage multiple deadlines. • Excellent communication skills, with the ability to interact professionally with donors regarding sensitive financial information. • Degree in Accounting or related field required; CPA preferred.
